If you or someone you care for requires urgent help:

  • Emergencies: Call 000 immediately.

  • Crisis Support: Call Lifeline on 13 11 14 or Beyond Blue on 1300 22 4636.

  • Clinical Triage: Contact your local area psychiatric triage number or present to the nearest Emergency Department.

Late cancellation and No-Show Policy

At WellSpring Psychiatry, we understand that unexpected circumstances can arise. However, our appointment slots are limited and in high demand, with many patients waiting for care. To ensure fair access for everyone and to support the sustainability of our practice, we have the following policy in place.

Required Notice Period We require at least 48 hours' notice (excluding weekends and public holidays where applicable) to cancel or reschedule an appointment without incurring a fee. This means notice must be received by our rooms no later than 48 hours before your scheduled start time.

Late Cancellations and No-Shows

  • Any cancellation with less than 48 hours' notice, or

  • Failure to attend your appointment without notice (a "no-show"),

will incur a $150 late cancellation/no-show fee.

This fee must be paid in full before any subsequent appointments can be scheduled or attended.

Important Notes

  • This fee is non-refundable and is not eligible for Medicare rebates, private health insurance rebates, or any other funding reimbursement.

  • The fee applies regardless of the reason for the late cancellation or no-show (including illness, work commitments, or other unforeseen events), though we may exercise discretion in exceptional circumstances at the Practice Manager's or doctor's review.

  • We send appointment reminders via SMS/email where possible, but it remains your responsibility to attend or cancel in time.

  • To cancel or reschedule, please contact the rooms by phone [insert phone number] or via our patient portal/email [insert details]. Cancellations via SMS may be accepted but are not guaranteed for processing within the notice window.

Why We Have This Policy Late cancellations and no-shows prevent other patients from accessing timely psychiatric care. By adhering to this policy, you help us maintain availability for those on our waiting list and ensure we can continue providing high-quality service.

If you have any questions about this policy, please contact our Practice Manager at [phone/email].

This policy is effective as of December 2025 and applies to all appointments.
